The freelancer who finished on Friday
A campaign with video, social cuts and a landing page often needs people the agency doesn't employ full time: an editor for two weeks, a motion designer for three days, a producer for the shoot. They do good work, send an invoice and move on. What often goes with them is the information the agency needed: how many hours that client's job really took, where the final files are, and what was agreed on set that never made it into an email.
In ShipSprint, a freelancer is a seat, billed per user, added for as long as you need them. On Team and up, they log time in about five seconds beside the task they've just done, against the client's project, so the hours are captured while they're still on the job rather than reconstructed from their invoice. The handover lives on a wiki page attached to the project, with page history, not in their inbox.
When the campaign wraps, you know what it cost in hours, by person and by client, and the next freelancer can pick up from a written record.
A production-heavy campaign, step by step
The marketing templates use campaign language: briefs, content calendars and launch checklists.
Write it in the wiki. Any sentence, "three cut-downs for social", for example, can become a task on the client's board.
Checklists for bookings, permissions and assets, each line with an owner, so nothing depends on one producer's memory.
A WIP limit on the review column shows when too many cuts are waiting on client feedback. "I'm blocked" pulls in the account lead to chase it.
"Can we also get a vertical version?" goes into the triage inbox, so the account lead can decide if it's in scope before an editor starts it.
Hours per person and per client from the timesheets, and the handover notes on the project's wiki page.
Dates you can't move, people you can't spare
Campaigns tied to a release, an event or a launch rarely have room to slip. On Team and up, capacity planning counts approved leave and out-of-office, and the manager dashboard shows each person's load across clients, so you can see before you commit whether the team for that fortnight is actually available, freelancers included.
Plan around Thanksgiving week in late November, Independence Day on 4 July and the end-of-December holidays, when both your crew and your clients' approvers are hard to reach. If final approval is needed before one of those, put it on the board as its own task with a date.
On Business, the owner command center shows every client and team in one view, with a Monday digest that arrives assembled, and scorecards built from delivered work and self-logged hours, adjusted for leave and visible to the person they describe. Nothing in any plan takes screenshots, logs keystrokes or tracks activity.
Using ShipSprint from Los Angeles: four points
Who you're buying from. ShipSprint comes from Quantuva Technologies Pvt. Ltd. in Hyderabad, India. There's no office or local entity in the US. Support is by email and in-app chat.
Time zones. IST is 13 hours 30 minutes ahead of Los Angeles in winter and 12 hours 30 minutes ahead in summer. Replies usually come the same working day, Indian time, so a question sent as your day ends will usually have an answer when it starts again.
Billing. Seats are billed per user in Indian rupees through Razorpay, and your bank converts the charge. Your accountant can say how sales tax treats a service bought from outside the US.
Data protection. The US relies on state laws rather than one federal privacy law, and California's CCPA applies to many businesses that handle Californians' data; sector rules such as HIPAA add more for health clients. If talent releases, contact sheets or customer lists will go into tasks, check the sub-processor list and the security overview against those rules and your client contracts first.
