One campaign, several versions, many approvals

If your agency produces a campaign in English and Chinese, each asset is really two or three pieces of work: the source copy, the adaptation, and the check that both say the same thing. Add a separate review by the client for each language and a single social post can pass through half a dozen hands. Track that in one email thread and something always goes out in the wrong version.

In ShipSprint each client gets a board, and each language version can be its own card, both pointing back to the same brief. The columns can follow how the client approves: draft, adaptation, internal check, client review, scheduled. A WIP limit on "Client review" shows when too much is waiting on the client, which is the moment for the account manager to chase them, not for the studio to start something new.

The brief, the tone rules for each language and the client's list of terms to avoid live in the built-in wiki, with page history, next to the board. Any line on a page can become a task, so "client wants the tagline changed in both versions" gets an owner straight away.

Knowing what each retainer really costs

Extra rounds of edits and a second language version both eat into a retainer without anyone deciding they should. On Team and up, people log time in about five seconds next to the task they just finished. Because each task belongs to a client's project, the hours show up against that client the same week, and timesheets collect each person's total. A missed day prompts that person, not the account director.

When a client's monthly hours run over, the account lead can show where they went and agree whether the extra rounds are billable.

New requests go into a triage inbox rather than an account manager's chat, and someone decides which retainer they fall under before the studio picks them up.

Festival campaigns and festival leave

Capacity planning on Team and up counts approved leave and public holidays. In Hong Kong, the dates that most affect capacity are Lunar New Year, Easter and the Mid-Autumn Festival. If a client's campaign is timed for one of those festivals, the production deadline lands just before the holiday, when your own people are about to be away. Plan backwards from the holiday, not from the launch date, and leave room for the client's approvers taking time off too.

ShipSprint doesn't monitor anyone: no screenshots, no keystroke logging, no activity tracking. Hours are what people log themselves.
