Process for a team with no process owner

Large engineering departments have scrum masters and delivery managers whose job is to keep the board accurate. A team of four to eight developers usually has nobody in that role. The lead codes, the founder sells, and the board is updated in a rush before the weekly review, if at all.

The answer for a small team is to make the board need as little attention as possible. On Team and up, ShipSprint links to GitHub: opening a branch for a card moves it into progress, and merging the pull request closes it. The most common reason a board goes stale, forgetting to drag a card, disappears.

The next most common reason is too much work in progress. Per-column WIP limits stop the team starting a sixth thing while five are half done. When the review column hits its limit, someone reviews before anyone starts something new, which is usually the quickest way to get work actually finished.

Interruptions without a gatekeeper

In a small company, everyone can reach every developer directly. That's friendly, and it wrecks sprints. A triage inbox gives requests from sales, support and the founder one place to land, and the lead decides once a day what enters the sprint. Developers get fewer "quick questions", and the person asking can see that their request was received.

When a developer is the one waiting, on a design, an API key or a decision, the "I'm blocked" button on the "my day" screen pulls in the person who can help, with the task's context attached. It's faster than a message that might be read tomorrow.

On Team and up, AI assistants such as Claude Code and Cursor connect over MCP, so a developer can read a task, update it or log time without leaving the editor. They act with that developer's own permissions and nothing more.

Small teams, big holidays

In a team of five, one person's leave removes a fifth of the sprint. Capacity planning on Team and up counts approved leave, out-of-office and public holidays before you commit: Diwali and Holi, Rajasthan's state holidays, and the regional festivals that developers from other states observe, which differ by state. If you work some Saturdays, as some firms do, count actual working days.

Nothing records screens or keystrokes, and there's no activity tracking. On Business, scorecards come from delivered work and self-logged hours, adjusted for leave, and each developer sees their own.

Data protection. Logs, screenshots in bug reports and test accounts can include personal data covered by the Digital Personal Data Protection Act, 2023, and clients may add contract terms. Check the sub-processor list and the security overview against both.
