Twelve departments, one team, and every request marked urgent

Healthcare and higher education are a large part of Philadelphia's economy, and a good share of the city's technology work happens inside, or on behalf of, large institutions like these. A team in that position rarely has one customer. It has a dozen internal ones: a clinical department, admissions, finance, research, facilities, each sending requests through whichever channel worked last time.

The result is familiar. Requests arrive by email, chat, hallway conversation and a form someone set up years ago. The team works on whatever was asked most recently or most loudly, and nobody can say what was agreed, what was turned down, or why.

ShipSprint gives that work a front door. New requests go into a triage inbox, where a lead decides what's accepted, what waits and what's declined, before anything reaches the board. Per-column WIP limits then keep the team from saying yes to more than it can finish, and the limit itself becomes the explanation when a department asks why its item hasn't started.

Decisions that outlast the meeting they were made in

Large organisations make decisions in committees, and the minutes end up in someone's inbox. Six months later a new manager asks why the team built it this way, and nobody can find the answer.

ShipSprint's built-in wiki keeps decisions beside the work they affect, with page history, so you can see how a page read before it was changed. Any sentence on a page can become a task, which means an action agreed in a meeting is assigned before the meeting notes are even finished.

On Team and up, people log time against the task they just finished in about five seconds, with reminders that go to them, not to their manager. That gives you an honest answer when a department asks how much of the team's month it used. On Business, the owner command center and Monday digest show every team's position without a status meeting, and delivery forecasts come from measured velocity as sprints close.

Beyond engineering

The same subscription for the rest of the organisation

Engineering, HR, marketing and operations each get their own templates and vocabulary, so non-technical teams aren't forced into sprint language.

Engineering and IT

Sprints, WIP-limited boards and the triage inbox. On Team and up, GitHub branches move cards and merged pull requests close them.

HR

Hiring pipelines and onboarding checklists, so a new starter's accounts, equipment and first-week meetings each have an owner.

Marketing

Campaign plans and content calendars that live next to the product work they depend on.

Operations

Recurring tasks, vendor onboarding and facilities requests, tracked the same way but in their own words.

Planning around the US calendar

On Team and up, capacity planning includes approved leave and out-of-office, so the plan reflects who is actually in. The weeks to watch are Thanksgiving week in late November, Independence Day on 4 July and the end-of-December holidays. If you work to an academic year, add your own term dates as well; the board can't know them unless someone puts them in.

No screenshots, keystroke logs or activity tracking exist anywhere in ShipSprint. On Business, scorecards are adjusted for approved leave and each person can see their own.

Using ShipSprint from Philadelphia: what to check first

Who you're buying from. ShipSprint is developed and sold by Quantuva Technologies Pvt. Ltd. in Hyderabad, India. There is no office or local entity in the US. Support is by email and in-app chat.

Time zones. IST is 10 hours 30 minutes ahead of Philadelphia in winter and 9 hours 30 minutes ahead in summer. Our day finishes around the time yours begins, so a question sent at the end of your afternoon is usually answered during the Indian working day and waiting when you start.

Billing. Seats are billed in Indian rupees through Razorpay, and your bank converts the charge to dollars. Whether Pennsylvania sales or use tax applies to a service bought from outside the US is a question for your accountant, and for an institution, its procurement office.

Data protection. The US has no single federal privacy law. A growing set of state laws, such as California's CCPA, applies, along with sector rules like HIPAA for health data; universities may also have student-record rules to consider. Check the sub-processor list and the security overview against your own obligations and contracts before personal data goes in.
