One support desk, several very different clients
An IT services firm rarely gets to specialise. The same engineers might look after a manufacturer's site network on Monday, a professional practice's document system on Tuesday and a distributor's warehouse scanners by Wednesday. Each client has its own contract, its own idea of urgent, and its own person who rings when something breaks.
Visibility breaks down in the shared inbox. An urgent outage and a routine access request look the same at first glance, so the order work gets picked up depends on who opened the email. Two account managers can promise the same engineer to two clients for the same afternoon, and nobody finds out until the afternoon arrives.
ShipSprint gives every client its own project and board, with per-column WIP limits. A service lead can see how much of the week each account already has before saying yes to another request.
What stops one account crowding out the rest
Tickets, change requests and project work for each account on its own board, with WIP limits per column so a full queue is obvious.
New requests from every client arrive in one inbox and are assigned on purpose, against who actually has room, rather than first come, first grabbed.
On Team and up, an engineer logs time in about five seconds beside the ticket just closed, and the hours land on that client's project.
The manager dashboard on Team shows who is carrying three accounts and who has room for a fourth.
The built-in wiki keeps each client's setup notes and procedures, with page history. Any sentence on a page can become a task.
Timesheets that are also the invoice
On a time-and-materials contract, the hours are the bill. Reconstructing a week from memory at month end loses some of them, and the ones lost are usually the short calls and quick fixes that never got a ticket. Logging next to the work, on Team and Business, catches those. If someone misses a day, the reminder goes to them, not to their manager.
Fixed-price support contracts benefit too. When one client's project is running well over the hours the contract assumed, it shows on that project while there is still time to raise it at the next review.
On Business, the owner command center rolls every client into one screen and delivery forecasts are worked out from measured velocity as sprints close, which helps on any project work you deliver alongside support. Scorecards, also on Business, are adjusted for approved leave and visible to the engineer they describe. There are no screenshots, no keystroke logging and no activity tracking anywhere in the product.
Capacity planning on Team and up includes approved leave and out-of-office. Before agreeing cover levels, check them against the UK bank holiday weekends, Easter and Christmas to New Year, when clients may still expect a response and fewer engineers are in.
Before a Birmingham IT firm signs up
Who you're buying from. ShipSprint is a product of Quantuva Technologies Pvt. Ltd. in Hyderabad, India. There's no office or local entity in the UK. Support is handled by email and in-app chat.
Time zones. IST is 5 hours 30 minutes ahead of Birmingham in winter and 4 hours 30 minutes ahead in summer. Our replies usually arrive the same working day, Indian time, so raise setup questions early in your day if you want an answer before you close.
Billing. You pay per seat in Indian rupees through Razorpay, and your bank handles the conversion to sterling. Ask your accountant how VAT applies when you buy a service from abroad.
Data protection. Your clients' data falls under the UK GDPR and the Data Protection Act 2018, and their contracts may say more. If tickets will carry names, emails or system details, check the sub-processor list and the security overview against those contracts and your own obligations first.
