When one company runs three kinds of work

Plenty of companies have more than one shape of team. Product engineers plan in two-week sprints. An operations group works through a queue of recurring jobs that never really ends. A services arm bills clients by the hour and needs to know where those hours went. Most project tools are designed around one of those shapes, so the other two either bend to fit or buy something else.

Birmingham has a long history in manufacturing and engineering, so a technology team here may well sit inside a business whose other departments have never run a sprint. That is a reasonable setup, but it usually ends with three subscriptions, three logins and nobody who can see all of the work at once.

ShipSprint puts sprint boards, operations queues and time logging in one workspace, priced per seat. Engineering, HR, marketing and operations each get their own templates and vocabulary on the same subscription, so the finance director signs one renewal rather than three.

Boards that suit a queue as well as a sprint

A sprint board assumes work arrives in batches and finishes in batches. An operations queue doesn't: requests keep coming, and the risk is quietly accepting more than the team can finish. Per-column WIP limits make that visible. When a column is full, the board says so, and the next request waits in the triage inbox until someone decides where it goes, rather than landing with whoever happened to read the email.

For anyone whose time is billed or costed, logging takes about five seconds on Team and up, right next to the task just finished. Timesheets build through the week instead of on Friday afternoon, and a missed day sends a reminder to the person concerned, not to their manager.

The manager dashboard on Team shows who is carrying what, across every board, without a round of messages to ask.

Same subscription, different vocabularies

How each part of the business uses it

Each function keeps its own words for its work. The person paying for it sees one workspace.

Software team

Sprints and WIP-limited boards. On Team and up, GitHub branches move cards and merged pull requests close them.

Operations

Recurring tasks and request queues, with the triage inbox deciding what gets picked up next.

Client services

A project per client, with hours logged against the work so the cost of an account is a number, not a guess.

HR

Hiring pipelines and onboarding checklists, so a new starter's first week is a list with an owner.

The director

On Business, an owner command center across every team and a Monday digest that arrives already assembled.

Status that doesn't need a phone round

When people work across more than one site or from home, asking "where are we with this?" usually means a call. On ShipSprint, a card's column is its status. Someone who is stuck taps "I'm blocked" on their "my day" screen and the person who can help is pulled in with the context attached.

On Team and Business, staff can also ask the workspace from Claude or ChatGPT. The assistant works with that person's own permissions, so it can only see and change what they could.

Capacity planning on Team and up counts approved leave and out-of-office. Plan sprints and service commitments around the UK bank holiday weekends, Easter and the stretch from Christmas to New Year, when a smaller crew is covering the same queue.

Buying ShipSprint from Birmingham: four things to know

Who you're buying from. ShipSprint is made by Quantuva Technologies Pvt. Ltd., a company in Hyderabad, India. It has no office or local entity in the UK, and support is by email and in-app chat.

Time zones. IST is 5 hours 30 minutes ahead of Birmingham in winter and 4 hours 30 minutes ahead in summer. A question sent in your morning reaches us in the Indian afternoon, and replies usually come the same working day, Indian time, so a late-afternoon question is more likely to be answered overnight.

Billing. Seats are billed per user in Indian rupees through Razorpay, and your bank converts the charge to pounds. How VAT applies to a service bought from outside the UK is a question for your accountant.

Data protection. UK organisations handle personal data under the UK GDPR and the Data Protection Act 2018. Read the sub-processor list and the security overview, and check both against your own obligations and any client contracts before you put personal data in the workspace.

FAQ

Questions from Birmingham teams

No. Engineering gets GitHub integration, but operations, HR and marketing have their own templates on the same subscription. A services or operations team is likely to lean more on the request queue and time logging than on sprints.
