Deadlines that won't move for you
Chicago is a major transport and logistics hub, and plenty of agencies here work for business-to-business clients whose marketing calendar is set by things outside the agency's control: an industry trade show, a sales kickoff, the start of a fiscal year, a rate change customers must be told about.
Those dates don't slip. If the booth graphics, the sales deck and the email sequence aren't ready, the event happens anyway. The work has to be planned backwards, and the agency needs to see early which piece is behind, while there's still time to add hands or cut scope.
In ShipSprint each client is a project with a board in marketing vocabulary, with templates for campaigns, content calendars and launch checklists. Each deliverable is a card with an owner and a due date, and the board shows what's waiting on whom.
The work, and how it's tracked
Business-to-business marketing has more pieces and more reviewers than most consumer work.
Decks, one-pagers and case material reviewed by the client's sales leaders as well as marketing. A WIP limit on the review column shows when feedback is the bottleneck.
A launch checklist per event, with everything due before the fixed date: print, digital, outreach, follow-up.
A content calendar per client. Briefs and source notes go in the built-in wiki, with page history, and any line can become a task.
"Can you just update this PDF" goes into the triage inbox. The account lead decides if it's in scope before someone spends an afternoon on it.
Retainers, project fees and the hours in between
Many agencies run both: a monthly retainer for ongoing work and project fees for events or rebrands. The trouble starts when retainer tasks and project tasks blur and nobody can say which budget an hour came from.
On Team and up, time is logged in about five seconds next to the finished task, and timesheets show it by project. Set up the retainer and each fee-based project separately and the split follows. Reminders to log go to the person who did the work, not their manager.
The manager dashboard on Team shows who's overloaded across clients. On Business, owners get the command center and a Monday digest across every account, plus scorecards adjusted for approved leave and visible to the person they describe. ShipSprint takes no screenshots and does no keystroke or activity tracking.
Capacity planning counts approved leave and holidays. Thanksgiving week in late November, Independence Day on 4 July and the end-of-December holidays are the weeks most likely to leave a US team short, and also when B2B clients may want year-end or new-year campaigns ready.
What a Chicago agency should check first
Who you're buying from. Quantuva Technologies Pvt. Ltd., a company in Hyderabad, India. There's no office or local entity in the US. Support is by email and in-app chat.
Time zones. IST is 11 hours 30 minutes ahead of Chicago in winter and 10 hours 30 minutes ahead in summer. Replies usually come the same working day in India, which falls in your night, so set the workspace up well before a big event deadline.
Billing. You pay per seat in Indian rupees through Razorpay, with your bank converting to dollars. Illinois and Chicago tax rules for cloud software can be specific, so ask your accountant what applies to a foreign subscription.
Data protection. US privacy law is a patchwork of state laws, such as California's CCPA, and sector rules like HIPAA, with no single federal law. If client prospect lists or event registrations end up in tasks, check the sub-processor list and the security overview against your duties and client agreements first.
