When part of the team changes every term

The University of Waterloo is known for its co-op programme, where students alternate study terms with paid work terms, and plenty of local companies hire through it. That gives a team a steady supply of capable people. It also means someone is always in their first fortnight, and someone else is about to leave with knowledge that was never written down.

The cost shows up in small ways. A new hire spends their first week asking where things are. A card sits in "in progress" because the person who started it went back to class. A decision about an API gets re-argued because nobody can find where it was made.

ShipSprint is built so the workspace explains itself. Everyone opens to a "my day" screen with today's items, not a backlog to decode. The built-in wiki holds the reasoning behind decisions, with page history, and any sentence on a page can become a task. On Team and up, GitHub branches move cards and merged pull requests close them, so the board stays accurate even when a newcomer hasn't learned the team's habits yet.

Handover as part of the work, not an afterthought

A good handover is mostly a list: what's open, what's blocked, where the notes are. In ShipSprint, those are all on the board already. An "I'm blocked" tap pulls in the person who can help, with context attached, so a blocker doesn't leave with the person who hit it.

Before a work term ends, have the leaver walk through their wiki pages and turn any loose ends into tasks with an owner. The page history shows who wrote what, so the next person knows who to ask after they've gone.

Capacity planning on Team and up counts approved leave and out-of-office. Use it for the term change as well as holidays: a sprint that starts the week new people arrive has less real capacity than the headcount suggests.

Planning sprints on the Ontario calendar

The dates that most affect capacity in Waterloo are Christmas to New Year, Canada Day on 1 July and Thanksgiving in October, plus Ontario's own statutory holidays. Put them in before you commit to a release date, and the plan will reflect who's actually working.

On Business, delivery forecasts are recalculated from the team's measured velocity at the end of every sprint. A team whose velocity dips while new people ramp up will see the forecast move, which is more useful than a date that ignores the change.

Time logging on Team takes about five seconds next to the finished task, and reminders go to the person, not their manager. There are no screenshots, keystroke logs or activity tracking anywhere in ShipSprint.

Before a Waterloo team signs up

Who you're buying from. Quantuva Technologies Pvt. Ltd. builds ShipSprint in Hyderabad, India. There is no office or local entity in Canada, and support is by email and in-app chat.

Time zones. IST is 10 hours 30 minutes ahead of Waterloo in winter and 9 hours 30 minutes ahead in summer, so the working days don't overlap. A question sent during your day usually gets its answer the same Indian working day, which tends to arrive by your next morning.

Billing. Plans are billed per seat in Indian rupees through Razorpay, and your bank converts the charge to Canadian dollars. How HST applies to a digital service bought from a foreign supplier is a question for your accountant.

Data protection. In Ontario, private-sector organisations generally fall under the federal PIPEDA. The sub-processor list names each provider that handles workspace data and the security overview explains tenant isolation, two-factor authentication and JSON export. Check both against your obligations and any customer contract.

FAQ

Questions from Waterloo teams

Yes. Anyone using the workspace counts as a user, so a student counts toward the 5-user limit on Free or as a paid seat on Team and Business while they're working with you.
