Waiting on the client's engineer

Technical marketing has a step that consumer work often doesn't: a subject-matter expert at the client has to confirm the content is correct. That person is usually an engineer or product manager with a day job, and the review sits in their inbox while the publication date gets closer. Multiply that by several clients and an agency can have most of its work parked in "waiting for feedback" without anyone seeing the total.

ShipSprint makes the waiting visible. Each client gets a board, and the columns can reflect how that client works: brief, draft, internal check, expert review, approval, published. Put a WIP limit on the expert-review column and the board shows when too many pieces are waiting on one client, which is the moment for the account lead to call rather than let the team start yet more drafts.

When a writer is stuck waiting on an answer, "I'm blocked" on their my-day screen pulls in the account lead with the card attached, so the chase happens without a status meeting.

Where a retainer's hours really go

A technical white paper can take three rounds of expert corrections, and each round costs hours the retainer may not have priced in. On Team and up, the team logs time in about five seconds next to the task just finished, so a client's hours are visible by project the same week, not reconstructed at month end. Timesheets collect each person's week, and anyone who misses a day gets the reminder themselves.

With that number in hand, an account lead can show the client where the time went, and agree whether the next round of corrections is in scope or extra.

New requests go into a triage inbox. Someone decides which retainer a request belongs to, or whether it is new work, before it lands on a designer's list.

Planning around Bavarian and client calendars

Capacity planning on Team and up counts approved leave and public holidays. Christmas to New Year and Easter take out reviewers on both sides, and public holidays and school summer holidays differ by German state. Your team works to Bavaria's calendar, while a client's expert in another state may be away in a different week. Set review deadlines with the reviewer's calendar in mind.

If your agency has a works council (Betriebsrat), introducing software that could monitor performance usually needs its agreement. ShipSprint has no screenshots, keystroke logging or activity tracking, which makes that discussion easier; the works council still decides.

Using ShipSprint from Munich: the practical part

Who you're buying from. Quantuva Technologies Pvt. Ltd., a company in Hyderabad, India, with no office or local entity in Germany. Support is by email and in-app chat.

Time zones. IST is 4 hours 30 minutes ahead of Munich in winter and 3 hours 30 minutes ahead in summer. Send a question in the morning and you'll usually have an answer the same working day, Indian time.

Billing. Each seat is billed in Indian rupees through Razorpay, and your bank converts the amount to euros. How VAT applies to a service bought from outside the EU is one for your accountant.

Data protection. Campaign work can involve personal data, such as event attendee lists or interview subjects, covered by the EU General Data Protection Regulation (GDPR) and your client contracts. Review the sub-processor list and the security overview against those obligations before any of it goes into a task.
