Where a fixed-price project loses its margin

A fixed-price implementation is priced on a scope document. Then the client's team sees the first demo and asks for an extra report, a different approval step, one more integration. Each request is reasonable. Together they turn a profitable project into one that runs two months over, and the conversation about paying for them happens too late to be comfortable.

The usual problem is that change requests arrive the same way as everything else, in email and in meetings, and go straight to an engineer. Nobody separates "this was in the contract" from "this is new" until the project is already late.

In ShipSprint, every request from the client goes into a triage inbox first. A project lead decides whether it belongs to the agreed scope or is a change request to be quoted, before anyone starts work. Each client project gets its own board with per-column WIP limits, so taking on extra work is a visible decision, not a quiet one.

Hours against scope, while it still matters

On Team and up, engineers log time in about five seconds next to the task they've just finished. Reminders for a missing day go to the engineer, not their manager. Because each task sits in the client's project, and change requests are cards of their own, the hours spent on extra work are separate from the hours spent on the original scope.

That gives a project lead something concrete to bring to the client: these requests took this much time. It also shows, partway through, whether the original estimate was right.

On Business, delivery forecasts are recalculated from the team's measured velocity as each sprint closes. When the go-live date drifts, the lead sees it weeks early and can agree on scope or timing with the client before it becomes a dispute.

For project and delivery leads

What runs a fixed-price engagement

Scope in the wiki

The agreed scope and decisions in the built-in wiki, with page history. A line in the scope can become a task.

Change requests as cards

Each new request triaged, judged as scope or change before work starts, and tracked as its own card on the client's board.

Manager dashboard

On Team and up, the whole team's load across clients, with leave and out-of-office counted.

Blockers on the client side

When an engineer waits on client access or data, "I'm blocked" brings in the project lead with the context.

Audit log

On Business, a record of who changed what in the workspace, plus sign-in with Google or Microsoft.

Go-live dates and the Saudi calendar

A go-live planned for the week before Eid is a risk: fewer people on both sides to handle problems, and the holiday itself takes several days. Ramadan often brings shorter working hours, which slows both your team and the client's testing. Because Eid al-Fitr and Eid al-Adha move about eleven days earlier each year, check them every time you agree a date.

Capacity planning on Team and up counts approved leave and public holidays, so the plan already reflects the Eid break. Scorecards on Business draw on delivered work and logged hours, are adjusted for leave, and are visible to the engineer they describe. ShipSprint takes no screenshots and does no keystroke or activity tracking.

Who you're buying from. Quantuva Technologies Pvt. Ltd. makes ShipSprint in Hyderabad, India. We have no office or local entity in Saudi Arabia; support is by email and in-app chat.

Time zones. IST is 2 hours 30 minutes ahead of Jeddah, with no daylight saving on either side. Our days overlap for most of yours from Monday to Thursday, and replies usually come the same Indian working day.

Billing. Per seat, in Indian rupees, through Razorpay; your bank converts to riyals. Your accountant can confirm how Saudi VAT applies to a service from a supplier abroad.

Data protection. Client data you put into tickets is covered by the PDPL, and your contracts may restrict which providers can see it. Check the sub-processor list and the security overview against both first.
