Year three of a maintenance contract

Maintenance and managed-service contracts are steady work, and they have a particular way of going wrong. The patching, backup checks and licence renewals that were carefully planned in the first year slowly become things one person remembers to do. The client’s setup changes, the notes don’t, and when that person goes on holiday the next technician starts from scratch.

ShipSprint turns the recurring part into work the system holds. Operations templates make each routine a checklist with an owner and a due date, on that client’s own board. The client’s runbooks, network notes and agreed procedures live in the built-in wiki with page history, so the version from before last spring’s change is still there, and any step in a runbook can become a task.

New requests from the client, the ones outside the routine, go into a triage inbox. A lead decides whether each is covered by the contract or billable on top before it lands on anyone’s day.

Evidence for the renewal conversation

When a contract comes up for renewal, the client wants to know what they got and the firm wants to know whether the price still works. Both questions need hours tied to real work. On Team and up, technicians log time in about five seconds next to the task they just closed, and since every task lives in a client’s project, the hours accumulate against the right contract. Weekly timesheets show them per person.

A year of that gives you something better than an estimate: how much of the time went to routine work, how much to requests outside the contract, and which months were heaviest. If someone forgets to log a day, the reminder goes to them, not their manager. None of it involves monitoring: ShipSprint has no screenshots, keystroke logging or activity tracking.

The manager dashboard on Team shows who is carrying which clients. On Business, scorecards adjusted for approved leave help a manager see each technician’s delivered work fairly, and each person can see their own.

For the service manager

How a Quebec City IT firm organises client work

Routine as checklists

Monthly and quarterly tasks per client, each with an owner, so nothing depends on one person’s memory.

Client knowledge in the wiki

Runbooks and configuration notes with page history, findable by whoever picks up the next ticket.

Out-of-scope requests

Triaged and marked before work starts, so extra work is billed or declined, not absorbed.

Promised callbacks

Work follow-ups and email digests on Team keep commitments to clients in view.

Actions on record

On Business, the workspace audit log shows who changed what, including AI assistant actions.

Before a Quebec City IT firm signs up

Who you’re buying from. Quantuva Technologies Pvt. Ltd., Hyderabad, India, builds and sells ShipSprint. It has no office or local entity in Canada, and support works through email and in-app chat.

Time zones. IST is 10 hours 30 minutes ahead of Quebec City in winter and 9 hours 30 minutes ahead in summer. Answers from support typically arrive within the same Indian working day, so move one client onto ShipSprint first and settle your questions there before moving the rest.

Billing. Each seat is billed in Indian rupees through Razorpay, and your bank handles the conversion to Canadian dollars. Whether GST, HST or QST applies to a service from a foreign supplier is something to confirm with your accountant.

Data protection. Your firm handles personal information under PIPEDA and Quebec’s Law 25, and your clients’ contracts may set their own conditions on which vendors can see their data. Read the sub-processor list and the security overview against all of those before client details go into the workspace.

Routine work over the holidays

Backups and patch cycles don’t pause for public holidays. Capacity planning on Team and up counts approved leave and out-of-office, so you can see who covers each client around Saint-Jean-Baptiste Day on 24 June, Canada Day on 1 July, Thanksgiving in October and the Christmas to New Year period.
