The fast client and the quiet one

Most IT firms have both. One client ships constantly and sends change requests every few days: new environments, access for new staff, a pipeline that broke after an update. Another runs a stable system and needs a patch cycle, a backup check and the occasional upgrade. The fast client is noisy, so it gets attention. The quiet client's licence renewal is missed, and that's the one that turns into an escalation.

ShipSprint gives each client its own project and board, and the WIP limit on each column belongs to that board. A busy client can fill its own "in progress" column, but it can't quietly absorb the whole team, because the other boards still show their own open work and their own limits.

New requests from every client go into one triage inbox. Someone reads them, decides what is urgent, and assigns them, so the order of work reflects priority rather than who sent the most messages.

Recurring work that doesn't depend on memory

A lot of IT service work is routine: monthly patching, quarterly access reviews, certificate renewals, backup restore tests. It's easy to do and easy to forget. Put the procedure in the client's wiki page and turn each step into a task when it's due; the built-in wiki keeps page history, and any sentence on a page can become a task.

When an engineer can't finish because the client hasn't granted access or approved a maintenance window, the "I'm blocked" button on their my-day screen pulls in the account owner with the context attached. The task doesn't sit in "in progress" looking like someone's slow.

Access and records

Two-factor authentication for every user; on Business, the workspace audit log and sign-in with Google or Microsoft.

Holiday cover in a Finnish summer

Capacity planning on Team and up counts approved leave and public holidays. Midsummer in June, the long July summer holiday and Christmas to New Year are the weeks that most affect a Finnish team's capacity. Clients' systems still need patching in July, so decide before Midsummer which engineer covers which accounts, and let the dashboard show any client left without cover.

There's no surveillance involved. ShipSprint takes no screenshots, records no keystrokes and tracks no activity; hours are those your engineers log.

Before a Helsinki IT firm signs up

Who you're buying from. Quantuva Technologies Pvt. Ltd., Hyderabad, India, makes and sells ShipSprint. There's no office or local entity in Finland, and support works through email and in-app chat.

Time zones. IST is 3 hours 30 minutes ahead of Helsinki in winter and 2 hours 30 minutes ahead in summer, so most of your morning overlaps with the Indian working day. Questions sent then usually get a reply the same working day, Indian time.

Billing. Seats are charged in Indian rupees through Razorpay and your bank converts them to euros. Ask your accountant how VAT is handled for a service from a supplier outside the EU.

Data protection. Client tickets often include names, emails and system details, so GDPR and your data processing agreements with each client apply. Review the sub-processor list and the security overview against both before moving client work in.
