Incidents and projects competing for the same people

An IT firm's week rarely goes to plan. A client's printer fleet stops working, a certificate expires, a user can't log in, and the engineer who was meant to spend the day on another client's server migration spends it on the phone instead. Planned project work slips a little each week, and nobody can quite say why.

The fix starts with seeing both kinds of work in the same place. In ShipSprint, every client gets its own project, and unplanned requests from all of them land in one triage inbox. A dispatcher or team lead looks at each item, decides whether it's urgent, and assigns it. The interruption is still there, but it's a decision someone made rather than whoever answered the phone first.

Per-column WIP limits do the rest. If the "in progress" column for a migration is full, the board shows that the project isn't moving, and the conversation about adding hands or pushing the deadline can happen before the client asks.

Billable time without chasing technicians

On Team and up, logging time takes about five seconds, right beside the ticket just resolved. A technician who forgets a day gets the reminder; their manager doesn't. The weekly timesheet then collects each person's hours, already sorted by client because every ticket lives in that client's project.

That's useful for invoicing, and also for contract reviews. If a client on a fixed monthly fee is generating far more incidents than the price assumed, the hours show it in black and white, which is a better basis for renegotiating than a general feeling that "they call a lot".

The manager dashboard on Team and up shows the whole team's work across clients, and capacity planning includes out-of-office, so you know who is actually available for the next project before promising a start date.

Tools for keeping clients separate and covered

Client projects

Each client's incidents, changes and project work in its own project and board, with WIP limits per column.

Documentation per client

Network diagrams, admin contacts and procedures in the built-in wiki, with page history. A note like "renew the firewall licence in March" can become a task on the spot.

Access questions answered

On Business, the workspace audit log and sign-in with Google or Microsoft. Two-factor authentication is available to every user on every plan.

Delivery forecasts

On Business, project dates recalculated from measured velocity, so a migration that is slipping shows up weeks ahead.

A clean handover

If a contract ends, a full JSON export of the workspace is available, so you can hand the client its history without copying tickets by hand.

Keeping cover in place over the summer

Capacity planning on Team and up counts approved leave and public holidays. For a Danish IT firm, the long summer holiday in July is the hardest period to staff, with Easter and Christmas to New Year close behind. Clients still need their systems running in those weeks, so check who's on leave before July starts and agree which accounts each remaining technician covers.

None of this involves watching anyone. ShipSprint has no screenshots, keystroke logs or activity tracking; the hours are those people log themselves.

Before a Copenhagen IT firm signs up

Who you're buying from. ShipSprint is a product of Quantuva Technologies Pvt. Ltd., Hyderabad, India. There is no office or local entity in Denmark, and support is by email and in-app chat.

Time zones. IST is 4 hours 30 minutes ahead of Copenhagen in winter and 3 hours 30 minutes ahead in summer. Raise setup questions in the morning and you'll usually hear back the same working day, Indian time; plan any migration from an older ticket system so you aren't waiting on an answer mid-way.

Billing. We charge per seat in Indian rupees through Razorpay, and your bank converts to kroner. Ask your accountant how Danish VAT applies to a service bought from a supplier outside the EU.

Data protection. Tickets often contain your clients' employee names and contact details, so GDPR and each client's data processing agreement both apply. Compare the sub-processor list and the security overview with those obligations before moving client tickets in.
