Where agency hours go missing

An agency sells time, but most of that time is spent in small pieces: a round of copy edits, a call about the brief, a resized set of banners, another pass after the client's manager has seen it. Each one is too small to bother logging at the moment it happens, and by the end of the week nobody remembers how long the third round of revisions took.

The result is a retainer that looks profitable on paper and isn't. The account lead suspects one client is consuming twice what they pay for, but can't show it.

On Team and up, ShipSprint puts the time log next to the task someone has just finished, and it takes about five seconds. When a day is left empty, the reminder goes to that person, not to their manager. Because every task sits in a client's project, the hours roll up by account without anyone sorting them afterwards.

Briefs, revisions and approvals on one board

New briefs and ad hoc client requests go into a triage inbox rather than an account manager's personal chats. From there they're scheduled onto the client's board, where columns can follow the agency's own stages: brief, in production, internal review, with client, approved.

Per-column WIP limits stop the "with client" column quietly filling up. When too much work is waiting on approvals, the limit makes it visible, and the account lead knows which client to chase.

Creative teams lose a lot of time waiting: for assets, for a logo file, for feedback. On the my-day screen, one tap on "I'm blocked" pulls in the account lead with the context attached, so the designer isn't writing a long message explaining what they need.

For the agency

How each role uses it

Account leads

A board per client and the hours behind it, so a scope conversation starts from numbers instead of impressions.

Designers and writers

Today's items on the my-day screen, a one-tap time log, and no screenshots, keystroke logs or activity tracking.

Brand notes

Each client's tone, approvals contacts and past decisions in the wiki, with page history. Any line can become a task.

Agency owner

On Business, the owner command center across every account, a Monday digest, and scorecards adjusted for approved leave and visible to the people they describe.

Campaign calendars and the Hijri year

If your clients plan campaigns around Ramadan or the two Eid holidays, the dates move about eleven days earlier each year, and the agency's own team is working shorter hours during Ramadan at the same time. A campaign calendar copied from last year will be wrong.

On Team and up, capacity planning counts approved leave, out-of-office and public holidays, so the production plan for those weeks reflects who is actually available. Building the Eid break into the board early, with the agency's working week of Sunday to Thursday, gives clients realistic approval deadlines instead of last-minute ones.

On Business, delivery forecasts from measured velocity show whether a large campaign build is on course as each sprint closes.

What a Riyadh agency should know before buying

Who you're buying from. ShipSprint belongs to Quantuva Technologies Pvt. Ltd., a company in Hyderabad, India. We have no office or local entity in Saudi Arabia, and support is handled through email and in-app chat.

Time zones. IST is 2 hours 30 minutes ahead of Riyadh throughout the year. That gives a good overlap from Monday to Thursday, and support usually answers the same working day, Indian time. Something raised on a Riyadh Sunday will normally be picked up on the Indian Monday.

Billing. The per-seat charge is in Indian rupees, collected through Razorpay, and converted to riyals by your bank. Your accountant can confirm how Saudi VAT applies to software bought from a foreign supplier.

Data protection. Agencies often hold client customer lists and campaign contacts, which fall under Saudi Arabia's Personal Data Protection Law (PDPL). Before that data goes in, read the sub-processor list and the security overview and check them against the PDPL and what your client agreements allow.
