The quote was agreed months ago. Is it still true?

Project work in IT services has a familiar shape. A client signs off a scope for a migration, a device rollout or a system upgrade, with a price and a date attached. Then the real environment turns out to be messier than the discovery call suggested, a few small extras get agreed in passing, and nobody is quite sure how far the hours have run past the quote until the project closes.

The data that would have warned you usually exists. It's just spread across a ticketing tool, a spreadsheet of estimates and the engineers' memories.

ShipSprint puts the plan and the hours in the same place. Each client engagement is its own project, with its tasks on a board and the hours logged against them. On Team and up, engineers log time in about five seconds from the task they've just finished, and the project's timesheet keeps a running total you can set against what was quoted.

Change requests that don't slip in sideways

Scope rarely grows in one big step. It grows through "while you're there, could you also...". ShipSprint's triage inbox gives those requests a place to land. Each one is looked at, priced or declined, and only then added to the client's board. The difference between agreed scope and extras stays visible, and that makes the conversation about a change request much easier.

Per-column WIP limits do a similar job for the team. When the "in progress" column on a client's board is full, the next item waits, which stops a project from quietly having six things half-done and nothing finished.

On Business, delivery forecasts are recalculated from the team's measured velocity as each sprint closes. If a rollout is drifting, the forecast moves weeks before the planned go-live, which is early enough to agree a new date with the client rather than apologise for missing the old one.

For project and delivery managers

What a client project needs from the tool

Cutover checklists

Operations templates for go-live steps and rollback plans, each step owned by a named person.

Design notes with history

Client environment details and agreed decisions in the built-in wiki, with page history to show what was decided and when.

Follow-ups that happen

Work follow-ups on Team and up, so an action from a client meeting doesn't depend on someone remembering it.

Capacity across projects

The manager dashboard and capacity planning on Team and up show who is free for the next rollout, with leave and out-of-office counted.

The partner view

On Business, the owner command center across every client project, and a Monday digest that arrives already put together.

Go-live dates and the bank holidays

Some clients prefer cutovers over a long weekend, when fewer of their own staff are working. That's exactly when your engineers may be on leave. Capacity planning on Team and up counts approved leave and public holidays, so you can see before you agree a date whether the bank holiday weekends, Easter or the stretch from Christmas to New Year will leave the project short.

Using ShipSprint from Leeds: what to check first

Who you're buying from. Quantuva Technologies Pvt. Ltd., based in Hyderabad, India, builds ShipSprint. There's no office or local entity in the UK, and support is by email and in-app chat.

Time zones. IST is 5 hours 30 minutes ahead of Leeds in winter and 4 hours 30 minutes ahead in summer. Support usually replies on the same working day, Indian time, so don't plan to need help during an evening cutover; set things up and test them in your morning.

Billing. You pay per seat, in Indian rupees, through Razorpay, and your bank converts to pounds. Your accountant can tell you how VAT applies to a service bought from abroad.

Data protection. Client system details and user lists often count as personal data under the UK GDPR and the Data Protection Act 2018, and clients in financial or legal work may set their own supplier rules. Review the sub-processor list and the security overview against your obligations and each client contract.
