One team, several calendars

Miami has long been a centre for trade and business with Latin America, and a technology company here may well have engineers in Bogotá or São Paulo, a client in Mexico City and a sales lead in New York. Time zones are the obvious difference. The less obvious one is the calendar: each country has its own public holidays, and a sprint planned on the US calendar alone can lose a third of its people to a holiday nobody in the Miami office was thinking about.

On Team and up, ShipSprint's capacity planning counts approved leave, out-of-office and public holidays, so a sprint is planned around who's actually working. The manager dashboard shows each person's load in one view. Put every country's dates in before the quarter starts, and the plan reflects the team you really have.

The rest of the company works in the same place. Engineering, HR, marketing and operations each get templates and vocabulary that suit their work, on one subscription priced per seat.

The dates that catch a cross-border plan out

On the US side, the weeks to watch are Thanksgiving week in late November, Independence Day on 4 July, and the end-of-December holidays. For colleagues elsewhere in the Americas, a few patterns are worth knowing.

Holy Week matters in much of Latin America, including Mexico, Colombia, Brazil and Peru, and it moves every year with Easter. Brazil also has Carnival in February or March. Colombia moves many public holidays to Mondays, which creates long weekends through the year. In Argentina and Chile, January and February are the summer holiday months, and Chile's Fiestas Patrias fall around 18 and 19 September. In Mexico, the quiet period runs from mid-December into early January.

None of this is hard to plan for once it's on the calendar. It's the plan made without it that goes wrong.

Working across time zones

Status without a call everyone can make

A team spread over several countries needs the board to answer questions, not a meeting.

The column is the status

On Team and up, GitHub branches move cards and merged pull requests close them, so engineering's board is current without anyone updating it.

Blockers with context

The "I'm blocked" button on the my-day screen pulls in the right person with the card attached, so the question still makes sense hours later.

One inbox for requests

New work from anywhere goes into a triage inbox, where someone decides what's scheduled, instead of reaching whoever is awake.

Decisions written down

The built-in wiki has page history, and any sentence can become a task, so a decision made in one time zone is there for the next.

The whole picture

On Business, the owner command center across every team, delivery forecasts from measured velocity, and a Monday digest.

Hours and fairness across borders

When people work for you from several countries, some as staff and some as contractors, consistent time records matter. On Team and up, anyone can log time in about five seconds beside the task they just finished, and timesheets collect the week per person. Reminders for a missing day go to that person, not their manager.

There's no monitoring of any kind: no screenshots, keystroke logs or activity tracking. On Business, scorecards are built from delivered work and self-logged hours, adjusted for approved leave, and visible to the person they describe, which matters when a manager in Miami is assessing someone they rarely see in person.

Using ShipSprint from Miami: what to know first

Who you're buying from. ShipSprint is built by Quantuva Technologies Pvt. Ltd. in Hyderabad, India. There is no office or local entity in the US or Latin America. Support is by email and in-app chat.

Time zones. IST is 10 hours 30 minutes ahead of Miami in winter and 9 hours 30 minutes ahead in summer. The start of your day is the end of the Indian working day, so replies, which usually come the same working day in India, will mostly reach you overnight.

Billing. Seats are billed per user in Indian rupees through Razorpay, and your bank converts the charge to dollars. Whether sales tax applies to a service bought from outside the US is for your accountant to say.

Data protection. The US has no single federal privacy law; state laws such as California's CCPA and sector rules such as HIPAA for health data apply instead. If colleagues or clients are in other countries, their laws may apply too, such as Brazil's LGPD. Check the sub-processor list and the security overview against all of those and your contracts.
