Check the client's contract before the tool

An IT services firm doesn't only answer to its own policies. Each client's master agreement can say which tools may hold their information, who may see it, and sometimes which countries those vendors may be in. That matters here, because ShipSprint is built and supported by a company in India.

San Diego is home to major US Navy installations, and firms that support defense contractors or government work may find that some of those clients restrict foreign vendors outright. Health and life-science clients may have their own limits under HIPAA or their contracts. If a client's agreement rules out a foreign tool, keep that client's work out of ShipSprint, or keep only non-sensitive scheduling there. It's better to sort this out on day one than after a client's audit.

For the clients where it's allowed, the rest of this page is about how the delivery side works.

Change requests that don't skip the queue

Scope creep in managed services usually arrives as a favour. A client contact asks the engineer they know for "a quick change", the engineer does it, and the work never appears on the account's board or in its hours. Multiply that across a dozen clients and the firm's capacity is spent on work nobody scheduled.

In ShipSprint, each client gets a project and a board, and new tickets and change requests go into a triage inbox. The service lead decides whether a request is in scope, needs a quote or can wait, and assigns it. Per-column WIP limits keep any one engineer from holding too many open jobs at once.

When the work is done, the engineer logs the time in about five seconds, next to the task. On Team and up, timesheets show where each client's hours went, which makes the monthly hours report a lookup rather than a reconstruction.

What the firm gets on each plan

Team covers most day-to-day delivery. Business adds the firm-wide view and the record of changes.

Client runbooks

Network diagrams, access procedures and escalation paths in the wiki, with page history to show when a procedure changed.

Leave on the rota

On Team, approved leave and out-of-office count in capacity planning, so on-call and client commitments aren't made against someone who's away.

The manager dashboard

On Team and up, the manager dashboard gives the service lead one view of the team's work for the weekly allocation meeting.

The audit log

On Business, a workspace audit log of who changed what, including actions by AI assistants working with an engineer's permissions.

Unlimited client projects

Business removes the 100-project ceiling, for firms with a long tail of small accounts.

Holidays, on-call and the people behind the tickets

Client systems don't take holidays, but your engineers do. Thanksgiving week in late November, Independence Day on 4 July and the end-of-December holidays are when cover is thinnest. Put the on-call schedule on the board before those weeks and let capacity planning show the gaps.

Nobody is watched while they work. ShipSprint has no screenshots, keystroke logging or activity tracking, and time logging reminders go to the engineer rather than their manager. On Business, scorecards are leave-adjusted and visible to the person they describe.

For a San Diego IT firm: the vendor details

Who you're buying from. Quantuva Technologies Pvt. Ltd., Hyderabad, India. It has no office or local entity in the US and supports customers by email and in-app chat.

Time zones. IST is 13 hours 30 minutes ahead of San Diego in winter and 12 hours 30 minutes ahead in summer. Our working day happens during your night, and replies usually come within that day, so raise anything urgent before you finish for the evening.

Billing. Seats are billed per user in Indian rupees via Razorpay. Your bank converts the charge to dollars. Ask your accountant how sales or use tax treats a service bought from a foreign provider.

Data protection. California's CCPA applies to many businesses that handle Californians' data. HIPAA covers health data, and other states have their own laws, since there's no single federal one. Read the sub-processor list and the security overview, then check them against your own obligations and each client's contract.

FAQ

Questions from San Diego IT firms

Probably not for that client's data. ShipSprint is made by an Indian company, so check the contract first, and if in doubt keep that client's work in a tool the contract allows.
