When the statement of work is the rulebook

A lot of IT services work runs on contracts with a defined scope: a statement of work, a set number of hours, named deliverables and a sign-off at the end. The difficulty is rarely the technical work. It’s the drift: a request that sounds small, gets done as a favour, and turns up at invoice time as hours the contract never covered.

ShipSprint sets up each engagement as its own project and board. Requests from the client go into a triage inbox first, where a delivery lead decides whether each one is inside the agreed scope, a change request to be priced, or something to decline. That decision is made once, on purpose, and the card carries it from then on.

The engagement’s plan and agreed requirements can sit in the built-in wiki, with page history. When the client’s representative says the requirement was always this way, the earlier version is there to compare, and any line of it can be turned into a task.

Hours you can stand behind

On a time-and-materials contract, the timesheet has to match the work. On Team and up, a consultant logs time in about five seconds, right beside the task they finished, so each hour is tied to a specific piece of work in a specific client’s project. Weekly timesheets roll that up per person. If someone misses a day, the reminder goes to them, not their manager.

For fixed-price work the same data answers a different question: is this engagement running over, and by how much, before the last milestone? The manager dashboard on Team shows who is committed to which engagements this week, so a lead can see an overloaded consultant before the client does.

Hours in ShipSprint are only ever what people log themselves. There are no screenshots, no keystroke logging and no activity tracking, which also makes the tool easier to introduce to a team of senior contractors.

Using ShipSprint from Ottawa: before you commit

Who you’re buying from. The supplier is Quantuva Technologies Pvt. Ltd., Hyderabad, India. There’s no office or local entity in Canada, and support runs through email and in-app chat.

Time zones. IST is 10 hours 30 minutes ahead of Ottawa in winter and 9 hours 30 minutes ahead in summer. Support usually replies the same Indian working day, so if a client engagement starts on a Monday, set up its workspace and test it the week before.

Billing. Seats are billed in Indian rupees through Razorpay, and your bank converts each charge to Canadian dollars. Your accountant can say how GST or HST applies to a service bought from abroad.

Data protection. PIPEDA applies to most private-sector work in Canada, and some provinces have their own privacy laws. Your client contracts, especially for public bodies, may go further and restrict which vendors can see their information. Check the sub-processor list and the security overview against those contracts and your own obligations before client data goes into a card.

Engagement calendars and public holidays

An engagement plan built on a straight count of weeks will be wrong by December. Capacity planning on Team and up counts approved leave and out-of-office, along with Canada Day on 1 July, Thanksgiving in October and the Christmas to New Year period, so the hours you quote a client are hours your people will actually be working.
