Where agency hours go missing

An agency sells time, even when the contract says "campaign" or "monthly retainer". The trouble is that much of that time is spent in small pieces: a quick banner resize, a second round of copy edits, a call to explain the media plan again. None of it feels worth logging, and by the end of the month a retainer that looked profitable on paper has quietly gone over.

The other leak is briefs. A new request arrives by email to one account manager, gets forwarded to a designer, and is mentioned in a chat thread. If that account manager is off sick, nobody else knows it exists until the client asks where it is.

ShipSprint gives each client its own project and board, and every new brief lands in a shared triage inbox. Someone looks at it, decides whether it's in scope, and assigns it. The request is visible to the whole team from the moment it arrives, not only to whoever opened the email.

Knowing how much of the retainer is left

On Team and up, a designer or copywriter logs time in about five seconds next to the task they just finished, so the small jobs get recorded while they're fresh. Reminders for a missing day go to that person, not to the agency owner. Since each task sits in a client's project, the hours roll up by client automatically.

That gives an account lead a real answer midway through the month: how many hours this client has used and what is still in the queue. It's a much easier conversation to say "we're close to the retainer, shall we move the extra banners to next month?" in week three than to explain an overrun after the invoice.

Per-column WIP limits help in the same way. When the design column is full, it shows on the board, and a new request waits in triage instead of landing on someone already juggling four deadlines.

Built for client service work

What a Prague agency gets on one plan

Campaign boards

Marketing templates and vocabulary for campaigns, content calendars and launch checklists, separate per client.

Brief and decision history

The built-in wiki holds each client's brand rules and the brief itself, with page history. Any line of feedback can be turned into a task.

Asking for help early

On the my-day screen, "I'm blocked" pulls in the account lead when an asset or approval from the client hasn't arrived, with the context attached.

Studio overview

On Team and up, the manager dashboard shows who is working on which client, with leave and capacity planning beside it.

Not a CRM

ShipSprint tracks delivery once a client has signed. Pitches, contacts and deals stay in whatever system you already use for them.

Campaign calendars and the Czech year

Capacity planning on Team and up counts approved leave and public holidays. In the Czech Republic, that means watching Christmas to New Year, Easter, and the July and August summer holidays. If a client wants a campaign live in early September, most of the work has to happen while your team is taking summer leave, so plan the production weeks around who is actually in.

The same goes for a pre-Christmas push: the production deadline is effectively the week before the holiday break, not the launch date.

What to check before your agency signs up

Who you're buying from. Quantuva Technologies Pvt. Ltd. builds ShipSprint in Hyderabad, India. There is no office or local entity in the Czech Republic, and support is available by email and in-app chat.

Time zones. IST is 4 hours 30 minutes ahead of Prague in winter and 3 hours 30 minutes ahead in summer. Raise a question during your morning and the reply usually arrives the same working day, Indian time; for anything urgent before a campaign goes live, ask well ahead of the deadline.

Billing. Each seat is charged in rupees via Razorpay, and your bank handles the conversion. Whether and how Czech VAT applies to a service bought from outside the EU is for your accountant to confirm.

Data protection. Agencies often hold client customer lists or campaign data, and that falls under GDPR as well as the client's contract. Look at the sub-processor list and the security overview, and keep raw personal data out of tasks unless both your obligations and the client's terms allow it.

Questions from Prague agencies

Yes, on Team and Business. Hours logged on a client's tasks stay in that client's project, and timesheets collect them per person each week.
