Several clients, one bench, one month of hours to account for
An IT services or managed-support firm rarely works a single backlog. The same handful of engineers might carry a support retainer for one client, a migration for another and on-call cover for a third, all in the same week. Two things go wrong in that setup: requests from every client compete for the same people, and the hours spent on each have to be accounted for at the end of the month.
Most project tools assume one team building one product. Bent to fit a services firm, they tend to produce one shared ticket list, where whichever client escalates loudest gets the hours, plus a separate time tracker that nobody opens until invoicing day.
In ShipSprint each client gets its own project and board, with per-column WIP limits, so the queue for one client can't quietly grow past what the team agreed to carry. New tickets and change requests land in a triage inbox first, where someone decides who takes them, instead of going to whichever engineer the client happened to email.
Hours that make it onto the invoice
Billable time disappears in small pieces: a twenty-minute fix between two calls, a password reset that turned into an afternoon, a quick question from a client that needed a proper answer. Nobody records it in the moment, and by the end of the month it's gone.
On Team and up, logging time takes about five seconds and sits next to the task the engineer just finished. If someone misses a day, the reminder goes to them, not to their manager, so the gap gets filled instead of turning into a conversation. Because every task lives in a client's project, the hours already belong to that client when the timesheets are reviewed.
None of this watches anyone. There are no screenshots, no keystroke logging and no activity tracking. What gets recorded is the work and the hours people log for themselves.
What a support firm uses every day
Nothing here asks an engineer to learn sprint vocabulary for a ticket queue.
Tickets, change requests and project work for each client sit on their own board, with WIP limits per column so a busy week for one client stays visible.
New requests wait in the triage inbox until someone assigns them, so nothing sits unseen in one person's mailbox until the client chases it.
An engineer waiting for credentials or an approval taps "I'm blocked" on the my-day screen, and the right person is pulled in with the task attached.
Procedures and client-specific notes live in the built-in wiki with page history. Any sentence, such as a step that turned out to be wrong, can become a task.
On Business, the workspace audit log gives you something to point to when a client asks who changed what. Sign-in with Google or Microsoft is on Business too.
Planning cover around German holidays
Capacity planning on Team and up counts approved leave and out-of-office, so a client's on-call week isn't planned around someone who turns out to be away. In Germany that calendar is uneven: regional public holidays and school summer holidays differ by state, so an engineer working remotely from another state can be off on a day the Berlin team works. Berlin has its own as well, with International Women's Day on 8 March. Then there are Easter and the stretch from Christmas to New Year, which a support contract may still need covered.
Seeing that in the plan before the week starts is the difference between arranging cover and apologising to a client afterwards.
Before a Berlin IT firm signs up
Who you're buying from. ShipSprint is made by Quantuva Technologies Pvt. Ltd. in Hyderabad, India. We have no office or local entity in Germany, and support is by email and in-app chat.
Time zones. IST is 4 hours 30 minutes ahead of Berlin in winter and 3 hours 30 minutes ahead in summer. A support question sent in the Berlin morning arrives during the Indian working afternoon; one sent late in the Berlin day arrives after the Indian working day has ended.
Billing. Seats are billed per user in Indian rupees through Razorpay, and your bank converts the charge into euros. Whether reverse-charge VAT applies to a service bought from outside the EU is for your accountant to confirm.
Data protection. Your firm works under the EU General Data Protection Regulation (GDPR), and your client contracts may add their own rules about subcontractors. Read the sub-processor list and the security overview against both before any client's personal data goes into a ticket.
