Retainers, campaigns and pitches on the same people

An agency's studio rarely works on one kind of job. There are retainers with a fixed monthly fee and an unfixed number of requests. There are campaigns with a budget and a launch date. And there are pitches, which cost real studio time and earn nothing unless they're won.

The money is lost in the gaps between those. A retainer client sends a few extra adaptations, a pitch takes the senior designer for three days, and at the end of the month the margin on two clients has gone without anyone deciding it should.

ShipSprint makes each of those visible as its own project. Every client gets a board. Pitches get one too, treated as internal work, so you can see what new business really costs. On Team and up, people log time in about five seconds beside the task they just finished, and the weekly timesheet shows the split across clients, campaigns and pitches without anyone filling in a grid on Friday evening.

Saying "after Thursday" with a number behind it

Account managers say yes because the client is on the phone. The studio finds out later. Per-column WIP limits on each board change that conversation: when the design column for a client is full, the account manager can see it before agreeing a date, and "we can start this after Thursday" is a fact rather than a brush-off.

Every new ask, whether it came by email, a call or a chat message, goes into a triage inbox first. Someone decides which client and which job it belongs to, and whether it's inside the retainer or a change to quote for. Revision rounds show up as revisions instead of as new work that nobody priced.

When a job stalls on client approval, the designer taps "I'm blocked" on the my-day screen, and the account lead is pulled in with the context attached. The wait is visible on the board, which is useful when a client asks why the date moved.

What the studio and the owner each get

Marketing has its own templates and vocabulary: campaigns, content calendars, launch checklists.

A brand book per client

Tone, logo rules and approval contacts in a wiki page with history. Any line can become a task.

Content calendars

Monthly deliverables for a retainer planned on a calendar template, with each post or asset as a card.

Manager dashboard

On Team and up, the studio's load across clients, with capacity that counts leave and out-of-office.

Owner command center

On Business, every client in one view and a Monday digest that arrives without anyone compiling it.

Fair scorecards

On Business, delivered work and logged hours per person, leave-adjusted and visible to that person.

The festival weeks, from both sides

Ganesh Chaturthi, usually in August or September, is Mumbai's big regional festival, and Diwali and Holi follow their own dates. Festive periods can bring a rush of client briefs and, at the same moment, the studio's heaviest leave. Colleagues from other states may also celebrate regional festivals of their own.

On Team and up, approved leave and public holidays count towards capacity. That lets you see, weeks ahead, that the festive push lands on a half-empty studio and move work forward, book freelance help or reset the client's expectations. If your agency works some Saturdays, plan on the days people actually work.

Using ShipSprint from Mumbai: the practical side

Who you're buying from. Quantuva Technologies Pvt. Ltd., which builds ShipSprint in Hyderabad. You're billed in rupees with GST-compliant invoices, and support works through email and in-app chat.

Time zones. No gap to manage: support is on IST and normally replies the same working day.

Billing. Each seat is billed per user in rupees through Razorpay. Prices are before GST, which the invoice shows, and a valid GSTIN lets you claim input-tax credit. Your accountant can confirm the position.

Data protection. Lead lists, contest entries and influencer contacts are personal data under the Digital Personal Data Protection Act, 2023. Before any of it goes into a card, compare the sub-processor list and the security overview with your own duties and each client's contract.
