The contract doesn't take a holiday
A managed services firm sells continuity. The client expects the same response in the second week of August as in the second week of March, even though your own engineers, quite reasonably, want their summer off. The same pressure comes back at Christmas and around the June festivals.
Cover usually breaks in small ways. The engineer who knows a client's firewall is on leave, the procedure lives in their head or their personal notes, and a ticket that should take twenty minutes takes a morning. Or two people on the same contract book the same fortnight, and nobody notices until the rota is already short.
ShipSprint gives each client contract its own project and board, with per-column WIP limits so a full queue is visible before more is promised. Incoming tickets land in a triage inbox, and a lead assigns them, so a request from a client whose usual engineer is away goes to someone who is actually on shift.
Cover planned before the rota is short
On Team and up, capacity planning counts approved leave, out-of-office and public holidays, and the manager dashboard shows each person's load across every contract. A service lead can see in May who is away in August and decide which contracts need a second person briefed.
The briefing itself goes into the built-in wiki: each client's runbooks, access procedures and past incidents, with page history. Any sentence in a runbook can be turned into a ticket, so "renew the certificate before it expires" becomes a dated task with an owner rather than a line someone has to remember.
When a covering engineer gets stuck, they tap "I'm blocked" on the my-day screen and the person who can help is pulled in with the ticket attached, instead of the client waiting while the engineer searches old chat threads.
What a managed services firm uses day to day
On Team and up, five-second time logs next to the ticket just closed, collected into weekly timesheets per person and per client.
A missing day prompts the engineer who missed it, not their manager, so the timesheet is fixed at source.
On Team and up, a summary of what changed arrives by email, useful for a lead who is between client sites.
On Business, the workspace audit log shows who changed what, and people can sign in with Google or Microsoft.
Hours, not surveillance
For time-and-materials contracts, logged hours are the invoice; for fixed-fee support, they show whether a contract is still worth renewing at the same price. Because every ticket belongs to a client's project, the hours arrive sorted by contract.
ShipSprint takes no screenshots, logs no keystrokes and tracks no activity. On Business, scorecards draw on delivered work and the hours people log themselves, adjust for approved leave, and are visible to the engineer they describe. Business also adds delivery forecasts from measured velocity, which help on project work such as a migration that has to finish before the summer.
Before a Lisbon IT firm signs up
Who you're buying from. Quantuva Technologies Pvt. Ltd. makes ShipSprint in Hyderabad, India. We have no office or local entity in Portugal, and our support is by email and in-app chat.
Time zones. IST is 5 hours 30 minutes ahead of Lisbon in winter and 4 hours 30 minutes ahead in summer. The overlap is mostly your morning, so send setup questions before lunch if you want an answer the same Indian working day.
Billing. Per seat, in Indian rupees, through Razorpay; your bank converts the charge to euros. Ask your accountant how Portuguese VAT applies to a service from a supplier outside the EU.
Data protection. You process client data under the GDPR, and your service contracts may say more about which providers can see it. Compare the sub-processor list and the security overview with both before ticket data goes in.
