Plenty of technology companies with twenty or thirty people are really three businesses at once: a product team running sprints, a client delivery team working to someone else's deadlines, and a back office that hires, onboards and keeps the lights on. Each group tends to pick its own tool, and within a year the company pays for a sprint board, a time tracker, a wiki and a spreadsheet that ties them together.

Where the hours actually went

When part of the company bills clients and part of it builds a product, the question that keeps coming up is where the week went. Reconstructing it from memory on a Friday afternoon is slow and usually wrong.

On Team and Business, logging time takes about five seconds and sits beside the task someone has just finished. If a day is missed, the reminder goes to that person, not to their manager. Timesheets gather each person's week, and because every task belongs to a project, the hours are already sorted by client or product line.

None of this is surveillance. There are no screenshots, no keystroke logging and no activity tracking. The hours are what people record themselves, and on Business the scorecards built from them are adjusted for approved leave and visible to the person they describe.

Planning around the UK calendar

Sprint plans tend to assume a full team. In the UK, the weeks that break that assumption are predictable: the bank holiday weekends, Easter, and the stretch from Christmas to New Year. Capacity planning on Team and up counts approved leave, out-of-office and public holidays, so a two-week sprint that contains a bank holiday Monday is planned with one fewer day in it.

For the people on the team, the day starts on a “my day” screen rather than the full backlog: today's items, a one-tap time log, and an “I'm blocked” button that brings in the person who can help, with the context attached. Decisions live in the wiki next to the work, with page history, and any sentence on a page can be turned into a task.

Time zones. IST is 5 hours 30 minutes ahead of Manchester in winter and 4 hours 30 minutes ahead in summer. A question sent first thing in the morning reaches us in the Indian afternoon, and replies usually come the same working day, Indian time; something sent late in your afternoon is more likely to be answered the next day.

Billing. Seats are charged in Indian rupees through Razorpay, and your bank converts the amount to sterling. How VAT applies to a digital service bought from outside the UK is something to confirm with your accountant.

Data protection. UK businesses handle personal data under the UK GDPR and the Data Protection Act 2018.
