When the specification is the contract

Much IT services work, whether for an overseas client or a large organisation in Vietnam, is built against a written specification. The spec gets revised, the client sends a change request by email, someone agrees to it in a call, and three weeks later nobody can say which version the team is building or whether the extra work was ever approved.

ShipSprint keeps the specification in the built-in wiki with page history, so you can show what a page said on the day the client signed it off. Any sentence on a page can be turned into a task, and new requests go into a triage inbox instead of a developer's inbox, where a project manager decides whether each one is in scope, a change request, or a question for the client.

Each client gets its own project and board, with per-column WIP limits, so a full queue for one client is visible before the account manager accepts another request from them.

Hours that match the invoice

For time-and-materials work, the timesheet is what the client pays against. On Team and up, an engineer logs time in about five seconds beside the task just finished. The task is already in a client's project, so the hours don't need sorting at month end. A missed day prompts a reminder to that engineer, not an email to their manager.

For fixed-price work, the same logs show when a module is running over its estimate while there's still time to raise a change request. On Business, delivery forecasts are recalculated from each project's measured velocity as sprints close, so a project heading past its delivery date shows up early.

Two holiday calendars on one plan

A firm with clients abroad works to its own calendar and theirs. In Vietnam, Tết is usually the longest break of the year, and Reunification Day and Labour Day fall together at the end of April and start of May. Your clients' holidays rarely line up with those, so there are weeks when they expect progress and your team is away, and others when your team is ready and nobody on the client side can answer a question.

Capacity planning on Team and up counts approved leave and public holidays per person. Put Tết and the April and May holidays into the plan, add the client's closures as out-of-office for the people on that account, and agree delivery dates on the capacity you really have.

Buying from India, delivering from Hanoi

Time zones. IST is 1 hour 30 minutes behind Hanoi, all year round. Most of the Hanoi working afternoon overlaps with Indian working hours, and replies usually come the same working day, which makes it practical to set up a new client project in the morning and have questions answered before you log off.

Billing. Per seat, in Indian rupees, through Razorpay. Your bank converts the charge to dong. Ask your accountant how VAT, or tax on payments to a foreign supplier, applies to a service bought from abroad.

Data protection. Decree 13/2023 and the newer Personal Data Protection Law govern personal data in Vietnam, and your clients' contracts, particularly overseas ones, may add rules of their own. Check the sub-processor list and the security overview against both before client data goes into a ticket.
